Expenses

Track and manage business expenses in Lanco. Lanco's expense tracking helps you monitor business spending. Expenses can be associated with specific clients or tracked as general business costs for your own records.

Creating Expenses

To create a new expense:

  1. Click Expenses in the sidebar
  2. Click New Expense
  3. Enter the amount
  4. Select the currency (defaults to your organization currency)
  5. Add a description of what the expense was for
  6. Select a category (Travel, Meals, Software, Equipment, etc.)
  7. Choose the date the expense occurred
  8. Optionally associate it with a client for tracking purposes

Expense Categories

Lanco provides standard categories to organize your expenses:

  • Travel: Flights, taxis, parking
  • Meals: Client dinners, business lunches
  • Accommodation: Hotels, rentals
  • Equipment: Computers, phones
  • Software: Subscriptions, tools
  • Office Supplies: Stationery, printing
  • Professional Services: Legal, accounting
  • Marketing: Advertising, hosting
  • Other: Miscellaneous items

If you're part of the beta test group with AI features enabled, you can use AI suggestions to automatically categorize expenses based on the description and amount. To request access to AI features, contact andrew@flett.cc.

Managing Expenses

The Expenses page shows all your expenses with:

  • Amount and currency
  • Description
  • Category
  • Date
  • Associated client

Filter options:

  • By client using the sidebar dropdown
  • By date range to review spending over specific periods

To edit unbilled expenses:

  1. Click the edit icon
  2. Update any fields
  3. Save changes

For general business expenses that aren't client-specific, leave the client field empty. These expenses appear as "General Expense" in the list and are useful for tracking overall business costs.

Multi-Currency Support

Expenses can be recorded in any currency, which is useful when traveling or working with international clients.

Key points about multi-currency expenses:

  • Each expense is stored in its original currency
  • Totals are grouped by currency to maintain accuracy
